Configuration Manager - Menus - Settings - Sales Transaction Types - Gift Registry

The Gift Registry Sales Transaction Type is used to record a list of requested gift items (a "wish list") for a particular Customer. The Gift Registry transaction may then be used by other Customers to select gift items from the list of requested gifts. As gifts are purchased, the Gift Registry keeps track of the gift items that have already been purchased and the gift items remaining to be purchased.

For example, to register a bride and groom for wedding gift items, select the Gift Registry Transaction Type by pressing [Ctrl]+[G] or by selecting Gift Registry from the Sales Manager Special Menu - Transaction Type list. Attach the couple's Customer database record to the transaction, enter the requested gift items on the transaction with the desired quantities in the left-hand quantity column labeled ReqQ for Request Quantity by default (or WishQ for Wish Quantity when viewing the transaction in the TotQ/TShip display mode), and print or save the transaction. The couple may add or change requested gift items on their Registry at any time. The Gift Registry may be viewed or printed for friends and family.

When friends and family want to purchase particular items for the couple, the Clerk simply opens the Gift Registry transaction and enters the selected gift item quantities in the right-hand quantity column labeled GiftQ (or PurchQ for Purchase Quantity when viewing the transaction in the TotQ/TShip display mode column). When the selected gift item sales transaction progresses from the Item Entry Screen to the Complete Sale Screen, the selected gift items are copied from the Gift Registry transaction to a new temporary On Hold transaction which is automatically converted to a Sales Invoice when payment is tendered. The original Gift Registry transaction is automatically updated at this point and the quantities for the remaining requested gift items are adjusted automatically. If the selected gift item sales transaction is cleared or deleted, the original Gift Registry is not updated for the requested gift item quantities that have not been purchased and a message is displayed to warn the Clerk.

To view the original Request Quantities and the Purchased Gift Quantities, press [Shift]+[F9] to view the Gift Registry transaction in Total Order/Total Ship Quantities mode.

The Gift Registry Sales Transaction Type is not enabled by default and the above description assumes default settings are in place. Because actual payment is received on the Sales Invoice resulting from the Gift Registry, and not the Gift Registry transaction itself, a Gift Registry transaction does not post to a General Ledger account. Inventory database record fields and Customer database record fields are updated when the items on the Gift Registry are sold and a Sales Invoice is created to record the transaction.
