The Hide/Show function is used to either Hide currently unhidden records or Show records marked as hidden. Three Lookup List options are available:
List All - Displays both hidden and unhidden records. Hidden records display an H in the right-most column.
Active Only - Displays only unhidden records.
Inactive Only - Displays only hidden records.
Hidden database records are not displayed in Lookup Lists throughout the Keystroke system (with the exception of the Inactive Only Lookup List). They may be included in Reports and in MultiStore Inventory Updates by enabling their respective Include Hidden Records parameters.
Keystroke includes hidden database records when checking fields for which the Unique Index parameter is enabled.
To Hide a Database Record
- Select the appropriate database.
- Select Hide/Show from the Record menu.
- Select the Active Only Lookup List option to view only items that are currently not hidden.
- Select the record to Hide from the Lookup List.
- Press [Enter] to Hide the record. The record is no longer visible in the Active Only Lookup List (and is displayed with an H in the List All Lookup List).
- Press [Esc] to exit the Lookup List.
Note:
- If an Inventory record with an On Hand Quantity, Allocated Quantity, Layaway Quantity, or On Order Quantity not equal to 0 is selected to be hidden, a warning screen is displayed showing the current quantity and asks for confirmation to "Hide It Anyway?".
- If an Customer record with an Amount Due not equal to 0 is selected to be hidden, a warning screen is displayed showing the current Amount Due and asks for confirmation to "Hide It Anyway?".
- If the current Clerk selects their own record to be hidden, an Access Denied screen is displayed explaining that "The clerk record is the same as the current clerk. (You can't Hide it)".
- Hide/Show is not available for Matrix Items.
To Reactivate a Hidden Database Record
- Select the appropriate database.
- Select Hide/Show from the Record menu.
- Select the Inactive Only Lookup List option to view only items that are currently hidden.
- Select the record to reactivate from the Lookup List.
- Press [Enter] to reactivate the record. The record is no longer visible in the Inactive Only Lookup List (and visible in both the Active Only and List All Lookup Lists).
- Press [Esc] to exit the Lookup List.
To both Hide an Active Database Record and Reactivate a Hidden Database Record using the List All Lookup List
- Select the appropriate database.
- Select Hide/Show from the Record menu.
- Select the List All Lookup List option to view both hidden and unhidden records. Hidden records display an H in the right-most column.
- Select the record to either hide or reactivate from the Lookup List.
- Press [Enter] to hide an active record (and display an H in the right-most column) or press [Enter] to reactivate a hidden record (and remove the H from the right-most column).
- Press [Esc] to exit the Lookup List.
