Database Manager - Menus - Find - Search & Update Price

The Search & Update Price function is used to locate records matching the Search criteria and update specific price fields using Price Formulas from Price Tables. The Price Tables and Formulas, along with their required Price Codes must be set up in advance.

The Search & Update Price function can update only one Price Field (or Cost field) each time it is used. To update multiple fields, the function must be run again for each field.

Note: Search & Update Price does not use the Minimum Quantity or any Dollar Amounts from the Price Formulas.

To use Search & Update Price

***Always make a Backup copy of the database files before using this function.***

- Select the appropriate database.

- Select Search & Update Price from the Find menu to display the Search screen (the first of two screens used by the Search & Update Price function). The Search screen looks like a Database record, but all of the fields are blank and the word "Search" is displayed in the lower right corner of the screen.

- Enter the Search criteria in the appropriate fields. Search Operators may be used with the search criteria. Search criteria may be entered in as many fields as necessary. Select the Lookup List button (or press [Ins] or [F2]) to display a list of the currently available options for a field (if options are available for that field). Tip: To Update Price based strictly on Price Code, leave the search screen blank because the Price Code(s) are already defined by the Price Formula(s).

- Press [F10] or [PageDown] to display the Update Pricing screen (the second of two screens used by the Search & Update Price function). The Update Pricing screen included three options:

Update - select the Update button to choose a Price or Cost field to update.

Price Table - Press [Ins] to select the Price Table to use when updating the Price/Cost field selected in the Update option. Each Price Table contains one or more Price Formulas. Each Price Formula updates Prices from one of the Price or Cost fields.

Do not choose a Price Table that updates from the Price or Cost field that is currently selected in the Update option or the "No Formula Available" message may be displayed.

When an item meeting the search criteria is located, the first Price Formula in the Price Table that applies to that item is used for the update. If none of the Price Table's Formulas apply to the item the update is cancelled.

In order for Search & Update Price to apply a Price Formula to update an item, the formula's Price Code must be the same as the item's Price Code, or be "* ALL PRICE CODES".

Price Date - If the Price Table includes Price Formulas based on date ranges, the Update Pricing Price Date option may be used to select the Price Formula. When an item meeting the search criteria is located, the first Price Formula to which the Price Date applies is used for the update.

- Ensure the Update Pricing screen options are set correctly.

- Press [F10] or [PageDown] to begin the Search.

- A WARNING screen is displayed stating: "This function can change the [PAYMENT SELECTED ON THE UPDATE PRICING SCREEN - UPDATE OPTION] on every item in your entire database. Make sure you have a CURRENT BACKUP! Proceed with Update Price function?".

- When the Search locates the first record that matches all of the Search criteria, a prompt is displayed asking to Confirm changes to each record. Yes is the recommended answer. The first record matching the Search criteria is displayed and the "Update this record (Yes/No/All)" prompt is displayed at lower left corner of the screen.

- Select Yes to update the record and continue to the next record that satisfies the Search criteria.

- Select No to not update the record and continue to the next record that satisfies the Search criteria.

- Select All to update the record and continue updating all the records that satisfy the Search criteria without prompting for confirmation.

Note: This function can change prices on all Inventory database records. Always make a backup copy of the database files before using this function.

Note: If attempting to update a price field that is also used by the Price Table/Formula selected on the Update Pricing screen - Price Table option, the "No Formula Available" message may be displayed. Change either the Update option or select a different Price Table.
