The Description Check Line Item Entry Parameter may be enabled to help locate an item in the Inventory Database when an item is entered on a Sales Transaction Item Entry screen by entering the item's Description.
If Description Check enabled, Keystroke attempts to locate an Inventory record with a matching Description. If one is not located, the Item Not Found! Proceed with Non-Inventory Item? message is displayed.
If Description Check is disabled, Keystroke does not attempt to locate an Inventory record with a matching Description field. Instead, it accepts any Description as a non-Inventory item even if it matches the Description field of an Inventory record.
Note: Description Check is case insensitive.
Example #1:
An existing Inventory Database item with Description "Ceramic Mug" is entered using the following Description: ceramic mug (in all lower case letters)
If Description Check is enabled, Keystroke checks the Inventory database for a record with a matching Description. It finds the existing Inventory database record with the Description "Ceramic Mug" and adds the item to the Sales Transaction.
If Description Check is disabled, Keystroke does not check the Inventory database and simply adds "ceramic mug" to the Sales Transaction as a non-Inventory item. The sale of the non- Inventory item does not update (reduce QOH, update Last Sold Date, etc) the Inventory record with the same Description.
Example #2:
A non-Inventory (the item does not exist as a record in the Inventory database) item is entered using the following Description: Serving Platter
If Description Check is enabled, Keystroke checks the Inventory database but does not find the item because there are no records in the Inventory database with a Description "Serving Platter". The Item Not Found! Proceed with Non-Inventory Item? message is displayed. Select OK to add the item to the Sales Transaction as a non-Inventory item. Select Cancel to return to the Sales Transaction Item Entry screen.
If Description Check is disabled, Keystroke simply adds "Serving Platter" to the Sales Transaction as a non-Inventory item without displaying the Item Not Found! Proceed with Non-Inventory Item? message.
To enable this parameter:
- Select Parameters from the Sales Manager Transaction Menu.
- Select Line Items.
- Select Description Check on the Line Item Entry Parameters screen.
- Use the mouse or the [Space Bar] to turn the parameter ON or OFF.
- Select [OK] or press [F10] to save.
