The Check Open Variances on Post parameter (available only with Keystroke Advanced licenses) checks for other Open Variances (VAR#.DAT files) containing the same items when the Post option is selected and either the Warn Only or Merge In Same Items options are enabled.
Before checking the contents of other Open Variances, Keystroke first checks if any of them are currently Active (in use and displayed in the Variance Module by another instance of Keystroke) by checking if any of the VAR#.LCK files are locked. If an Active Variance is located, a message is display warning that other Open Variances are currently Active and defaults to not proceed with the posting process because Keystroke cannot determine what items exist on a currently Active Variance (and so cannot merge items from those files).
The Check Open Variances On Post options are:
Never - The check for other Open Variances with matching items is skipped.
Warn Only - If any matching items are found on other Open Variances, the Same Items Warning message screen is displayed stating so, identifies the Open Variance by file name (VAR#.DAT), and reminds that it should be checked to verify the Physical (counted) Qty is correct. Three options are available on the Same Items Warning message screen: Post- proceeds with the Post process anyway, View Items- prints a list of the matched items from the other variances to the screen, and Cancel- cancels the Post process.
Merge In Same Items - If any matching items are found on other Open Variances, the Merge Variance Warning message screen is displayed stating so, identifies the Open Variance by file name (VAR#.DAT), and recommends that those items be merged (moved) from it to the Current Variance before posting. Four options are available on the Merge Variance Warning message screen: View Items- prints a list of the matched items from the other variances to the screen, Merge (the recommended option)- moves the matching items from the other Open Variance to the Current Variance and displays the Merge Process Complete message screen confirming the merge and recommending the updated Current Variance be reviewed before posting, Post Anyway- proceeds with the Post process without merging the matching items, and Cancel- cancels the Post process.
To set this parameter:
- Select Parameters from the Variance Menu.
- Select Check Open Variances on Post.
- Select one of the available Check Open Variances on Post options.
- Press [Enter]
- Select [OK] or press [F10] to save.
Note: that while there is not a maximum number of open variances that can exist, both the warning message and the item list report for the Check Open Variances on Post function will not display correctly if there are more than 9.
